Reporting to our Office Manager, as our Team Support Coordinator, flexibility is key, as this role is ever-changing and could include tasks from various disciplines, including executive support, facilities, employee engagement and accounting. You will also be the first point of contact at our Kelowna studio, creating a warm and welcoming environment for guests who visit and/or phone the studio.   • Support our Executive Team, Facilities, Finance and other entities under the Hyper Hippo Productions umbrella
  • Proactively manage, coordinate and organize activities and schedules for our Executive Team
  • Help our Finance Team shine: manage receipts & match to monthly visa statements
  • Ensure the office is in order, manage organizational and filing systems, and constantly assess our current systems, as well as making recommendations for improvements
  • Order stationery, equipment, marketing materials, and snacks/refreshments
  • Act as a community liaison: handle inquiries and coordinate tours
  • Coordinate regular community volunteer events, providing our team with ongoing mini appreciation days, events and recognition, as well as assisting with Summer and Winter party planning
  • Other duties include assisting with our Social Impact program and fun squad
  • Provide support and back-up coverage for Team Services Department


  • 2 years experience in administrative & office support
  • Diploma in Business Administration would be an asset
  • Computer proficiency using Gsuite (Gmail, Sheets, etc), Office365
  • Ability to troubleshoot technical issues and escalating to outsourced IT service provider
  • Outstanding written and oral communication and interpersonal skills
  • Detail-oriented with excellent analytical skills
  • Proven ability to meet deadlines, plan, follow-up and follow through
  • Self-motivated with a passion for excellence and continuous improvement
  • Ability to prioritize & manage projects
  • Comfortable in flexible, fast-paced work environments
  • Able to see a need and provide a solution before being asked
  • Customer service focused
